Administrative Assistant

DEPARTMENT: Retail Leasing
REPORTS TO: Vice President of Mall Leasing

DUTIES & RESPONSIBILITIES:

  • Provide support to assigned department employees and assist other co-workers when needed.
  • Bolster morale with a positive, energetic attitude and willingness to help in any way.
  • Enhance the department's team mentality by working to anticipate needs and creatively solve problems before they arise.
  • Place, answer, screen and direct phone calls; take messages when required, with a service-oriented attitude.
  • Schedule meetings (both intra- and inter-departmental) using judgment in determining priorities and coordinating with other staff as needed.
  • Operate custom computer programs; take initiative to learn/create efficiency-boosting procedures.
  • Coordinate travel reservations for assigned department employees.
  • Prepare and submit expense reports for assigned department employees.
  • Compose correspondence and interoffice memoranda.
  • Prepare and process all proposals and confirmation of business terms for assigned supervisor(s), paying careful attention to syntax and grammar.
  • Handle multiple deal assignments at one time, prioritizing and communicating about workload as needed.
  • Work effectively between multiple departments, mall employees and current and prospective tenants to ensure deal flow efficiency.
  • Create and maintain various deal tracking reports using Excel.

QUALIFICATIONS:

  • High School Diploma, 3-4 years of experience in a related field or industry.
  • Knowledge of Microsoft Word, Outlook, Power Point and Excel required; aptitude and willingness to learn other computer programs also desired.
  • General office skills.
  • Ability to communicate effectively, both oral and written.
  • Effective interpersonal skills and desire to promote a positive working environment.
  • Attention to detail and strong work ethic.
  • Ability to multi-task, prioritize and perform under a busy working atmosphere.
