SENIOR TENANT COORDINATOR
DUTIES AND RESPONSIBILITIES
Leasing Support
- Provide leasing support in the timely processing of Lease Outline Document (L.O.D.) packages including existing condition reports, recommendations and approval of tenant work, coordination with Regional Construction Coordinators with regard to the determination and pricing of Landlord Work.
- Assist CAD Operator(s) with the maintenance and updating of leasing plans and the verification of Lease Outline Documents (L.O.D.'s)
- Provide assistance to Leasing with regard to determining scope of Tenant's Work that will achieve the Landlord acceptable design standard. Participate in communication with tenants and their consultants as necessary.
- Prepare Design Package Letter and coordinate the distribution of all associated documents.
- Assist Leasing through the development and coordination of design concepts that promote the leasability and viability of unique tenant programs and spaces.
Tenant Communication and Documentation Review
- Coordinate the communication and the submission design and construction documents as required to support attaining Required Opening Dates and/or compliance with the Project Construction Completion Timeline.
- Assist in the oversight and administration of Tenant Coordination activities.
- The Senior Tenant Coordinator will assist the Director in the management of Tenant Coordination Activities.
- Maintain consistent and thorough communication with tenants, property management and leasing to insure that all parties are properly coordinated.
- Assume responsibility and oversight of special projects and manage all Tenant Coordination activities as directed and during absences by the Director.
- Maintain on a daily basis REIT-Soft database for assigned tasks and projects.
- Distribute Design and Construction document reviews within the required timeframes to meet or exceed KPI's. Assist in maintaining overall compliance by the department.
Tenant Construction Coordination
- Distribute Landlord approved Tenant construction documents to assigned properties and Regional Construction Coordinators. Insure that Property Management has received all corporate communication pertaining to the construction of each tenant space and is prepared to conduct a pre-construction meeting.
- Coordinate the performance of any lease required Landlord Work with the Regional Construction Coordinator. Assist in the coordination of outside vendors as needed to facilitate the timely completion of this work.
- Communicate with the Operations Managers regarding the status of Tenant Work utilizing Construction Status Reports.
- Visit each assigned property at least twice a year or as needed to properly coordinate tenant construction activity and maintain ample familiarity with assigned properties.
QUALIFICATIONS:
- Bachelor of Science degree in Architecture, Interior Design or Construction Management.
- At least 4 years experience as a Tenant Coordinator, or as a Project Manager in an architectural or construction management practice.
- Licensed as an architect in Pennsylvania or New Jersey is preferred but not required.
- Proven project management oversight and coordination of outside architects, engineers and contractors in the construction of retail projects.
- Expert proficiency in the use of Microsoft Office Professional products including Outlook, Word, Excel, PowerPoint, or Access.
- AutoCAD experience is required.
- Demonstrate competency and ease of use with general computer applications and Internet access.
